SmartSuite Cookie Policy

Updated November 1, 2026: the chat messenger now loads after you accept, or when you select Chat with us.

Updated October 28, 2026: this version names the services in use on our websites and describes the cookie banner.

Introduction

This policy explains the cookies and similar technologies used on www.smartsuite.com, the help center at help.smartsuite.com and the other websites operated by SmartSuite Holdings, Inc. ("SmartSuite", "we", "us"). It tells you what runs on these sites, when it runs, what it stores on your device, and how you can control it. The SmartSuite application at app.smartsuite.com is covered by the Terms of Use and the Global Privacy Policy.

Our Global Privacy Policy explains how we handle personal data. This policy covers only what runs in your browser when you visit our websites.

Your choices

When you first visit www.smartsuite.com, a banner asks whether we may use Google Analytics and the Intercom chat messenger. Google Analytics sets no cookies until you choose Accept, and after you accept the chat messenger loads on your first scroll. If you choose Reject, or have not chosen, Google Analytics sets no cookies on your device, and the chat messenger loads only on a page where you select Chat with us, which sets the Intercom cookies listed in the table.

Your choice is stored in your browser for 180 days and applies on every page of the site. It is stored on your device only; it is not sent to us or to anyone else. You can change it at any time with the Cookie settings link in the footer of every page. The banner offers one choice for the whole site, Accept or Reject; there is no choice by category.

If your browser sends a Global Privacy Control signal, we treat it as Reject.

The banner controls Google Analytics and the Intercom chat messenger. Two services run for every visitor whether you accept or reject: Warmly and PartnerStack. Warmly tells our sales team which companies are visiting the site. PartnerStack records which partner link brought you here. If you reject, or have not chosen yet, the chat messenger loads only when you select Chat with us. Each service is described in the table below with what it stores.

What cookies and similar technologies are

Cookies are small text files that a website stores in your browser. The site, or the company that set the cookie, can read it on later page views. Session cookies are deleted when you close your browser; persistent cookies stay until they expire or you delete them. Browsers may shorten the lifetime of a persistent cookie; for example, Chrome keeps no cookie longer than 400 days.

Local storage is a browser store that keeps values until you clear it, and session storage keeps values until you close the tab. Pixels, beacons and pings are requests to a server that record that a page was loaded. In this policy, "cookies" covers all of these unless the kind of storage matters.

The categories we use

Necessary. These make the site work and keep it safe: our record of your cookie choice, the hosting platform, the service that protects the site from automated traffic, the check that protects our newsletter forms, the fonts and code libraries the pages need, and a cookie our application sets when you sign in so that the home page can send you to the app. These cannot be turned off.

Functionality. These provide features you use on purpose: the chat messenger, the meeting calendar on the contact-sales page, and video players that load when you click to play a video.

Analytics. Google Analytics measures how the site is used. It sets cookies only after you accept.

Visitor identification and attribution. Warmly identifies the company, and where possible the person, visiting the site, so that our sales team can follow up with companies evaluating SmartSuite. PartnerStack records which partner or affiliate link brought you to the site, so that the partner can be paid. These run for every visitor.

We do not set advertising cookies, and no advertising network loads on our site.

Google Analytics before and after your choice

The Google tag loads on every page so that it can read your choice. Until you accept, and after you reject, Google Analytics sets no cookies and stores no identifier for you. In that state it sends cookieless pings to Google that carry the page address, your browser type, your IP address, a random number generated for that page load, and your consent state. These pings are not used to recognize you across pages or visits, and Google states that Google Analytics does not log or store IP addresses.

After you accept, Google Analytics sets the cookies listed above and measures your visits for up to two years. Links from this site to app.smartsuite.com then carry a short parameter so that a trial sign-up can be credited to the campaign or page that brought you here.

Services that run for every visitor

The banner controls Google's cookies and not these two services, which run whether you accept or reject. Warmly loads on every page on your first interaction or 13 seconds after the page loads, and tells our sales team which company is visiting and, where its data providers can match it, which person; it can also replay a visit while a member of our team is watching. PartnerStack loads on every page and records which partner or affiliate link brought you here, so that the partner is paid; on an ordinary visit it sets no cookie. If you do not want these services to run, you can block their domains (getwarmly.com, partnerstack.com, grsm.io and partnerlinks.io) in your browser or with a content blocker.

The help center

The help center at help.smartsuite.com is hosted by Intercom and shows no cookie banner. When you open any help page, Intercom sets the three cookies listed in the table so that the messenger and your conversation work. No analytics service runs on the help center.

The contact-sales calendar

The meeting calendar on the contact-sales page is provided by Calendly. It loads only after you accept on our banner or click Pick a time. When it loads, Calendly shows its own cookie notice inside the calendar and sets its own cookies, and Stripe sets one cookie that Calendly uses for fraud detection. These are listed in the table.

Videos

Videos on the site load only when you click to play them. Article videos use YouTube's privacy-enhanced mode, which sets no cookies until you play. The product videos on the home page open in YouTube's standard player, which sets YouTube's cookies when the video plays. Google's privacy policy describes them.

Controlling cookies

Cookie settings. The Cookie settings link in the footer of every page reopens the banner so that you can change your choice at any time.

Browser settings. You can block or delete cookies, local storage and site data in your browser. If you block the necessary cookies, parts of the site may not work. Instructions for the common browsers:

Google Analytics. You can also stop Google Analytics in every website you visit with Google's browser add-on at tools.google.com/dlpage/gaoptout.

Warmly and PartnerStack. Block their domains, listed under Services that run for every visitor, in your browser or with a content blocker. Warmly's privacy policy explains how to ask Warmly what it holds about you.

Intercom. Choose Reject on the banner, or change your choice with Cookie settings, and the chat messenger stops and its cookies are deleted from our site; on the help center, which shows no banner, you can block intercom.io and intercomcdn.com in your browser, which disables the chat messenger.

Do Not Track and Global Privacy Control

If your browser sends a Global Privacy Control signal, we treat it as Reject on the banner, so Google Analytics sets no cookies. There is no uniform standard for Do Not Track signals, and the site does not change its behavior when it receives one; Global Privacy Control is the signal we honor.

Changes to this policy

When the services we use or the banner change, we update this page and the date at the top. Each update adds a line under the date saying what changed.
