The Problem
Complex Projects, Fragmented Oversight
The organization manages hundreds of projects across hundreds of sites, each with dozens of tasks and multiple stakeholders. Teams relied on email, spreadsheets, and disconnected tools, making it difficult to track progress or enforce accountability.
Project managers lacked a unified view of timelines and ownership, while leadership had limited real-time visibility into project status and revenue performance. Delays, missed SLAs, and bottlenecks were common, and cross-team coordination was slow and inefficient.
Q1
The Solution
One Platform to Connect Projects, Teams, and Revenue
The company implemented a centralized platform to serve as a single source of truth across projects, teams, and financial workflows. Tasks are now automatically generated, assigned, and routed to the right stakeholders. Conditional logic, dependencies, and structured workflows ensure nothing falls through the cracks, while dashboards provide role-specific visibility for every team.
As initial teams demonstrated success, additional groups extended the same infrastructure rather than building new systems. By configuring fields, creating team-specific views, and layering in automations, new teams were able to go live in just a few weeks.
Automated reporting—generated through built-in document tools—provides leadership with a consistent, historical view of project progress, risks, and updates.
The organization also introduced a revenue scheduling and reporting workflow. With projects spanning multiple sites and contract terms ranging from one to ten years, revenue recognition had previously been complex and manual. The platform now automatically calculates projected, forecasted, and actual revenue, updating dashboards in real time as key milestones shift.
Q2
The Result
Real-Time Oversight, Faster Delivery, and Scalable Growth
The organization now has real-time visibility across 500+ projects and 250 sites, enabling teams to quickly identify delays and resolve bottlenecks. Time spent tracking work has been significantly reduced, allowing teams to focus on execution.
Revenue tracking and milestone reporting are fully automated, giving leadership greater confidence and enabling more proactive decision-making.
The platform has also proven highly scalable. New teams can quickly adopt existing workflows, dashboards, and data models without disruption. With a strong foundation in place, the organization is positioned to expand usage further—connecting more teams, standardizing processes, and building a fully unified operational ecosystem.
