“I still haven’t found the limits of SmartSuite. What started as a tool has become the platform underpinning everything we build. And it’s scaling faster than we imagined.”

Problem

A Tangle of Tools and No Unified View

Gillette Children’s, a nonprofit hospital and research center in Minnesota, provides expert, multidisciplinary care for children with complex brain, bone, and movement conditions. With a legacy of more than 125 years, the organization is known for delivering compassionate, tailored treatment to children with disabilities and rare medical needs.  But behind the scenes, operational workflows were fragmented and difficult to govern. Departments relied on an inconsistent collection of tools for managing projects, contracts, and planning efforts. These systems lacked integration, created data silos, and failed to scale.

Each department operated in siloed solutions, making it difficult to consolidate project data, enforce consistent models, or generate real-time executive visibility. Teams often duplicated data, broke shared formulas, or manually recreated reports, leaving stakeholders unsure where to find updates—or who to ask.

“We had no shared project model—each department was on its own. Executives struggled to find project data or who the contact was. It was incredibly manual.” – Andy Levesque

Q1

Solution

Enterprise-Wide Unification with SmartSuite

Gillette Children’s chose SmartSuite to centralize project management, CRM migration, and strategic planning on a scalable, no-code platform. SmartSuite’s relational database architecture enabled Gillette to consolidate systems, automate workflows, and bring 12 departments into a single, unified project model—up from an initial plan of three.

SmartSuite was integrated with Azure Active Directory for secure provisioning, while no-code tools allowed departments to build and customize their own dashboards. Executives could now view live project updates, assign stakeholders, and make data-driven decisions without relying on quarterly reports or disjointed templates.

Departments quickly expanded their use cases beyond project management to include contract management, facilities planning, capital budgeting, tuition reimbursement, and more—all while maintaining governance and speed.

“After one day of training, our team built a production-ready process in 15 minutes. The no-code approach changed everything.” – Andy Levesque

Q2

Result

Streamlined Systems, Empowered Departments

The shift was transformative. SmartSuite replaced or reduced 7–8 legacy tools, fully eliminated three, and onboarded over 5 use cases within 6 months. Teams now work within a single system that handles complex use cases and links data across departments—without the need for integrations or manual workarounds.

“We’re not just consolidating tools—we’re unlocking visibility and coordination we’ve never had before.” – Andy Levesque

Executives now access real-time dashboards. Stakeholders view all their deliverables in one place. Builders can launch new workflows in hours, not weeks. And the speed of adoption has outpaced expectations, as new departments continue requesting onboarding into SmartSuite.

It’s been exhilarating. Every executive we presented SmartSuite to said, ‘I need this—please onboard my teams.’” – Andy Levesque
