Problem
Poor inventory tracking and inefficient process management
BUCS Engineering, a utility infrastructure firm specializing in surveying, civil design, and project management, delivers accurate and reliable services to both municipal and private clients. Founded in 2021, the company quickly gained traction with major telecom providers. But with a lean team of just 10–15 employees, founder Greg Baseman knew success hinged on operating with efficiency and precision.
While competitors clung to Excel and email-based workflows, BUCS experimented with tools like ClickUp and Airtable—only to find they lacked the integration and automation needed to scale.
Greg’s vision was clear: minimize human error, automate repeatable tasks, and build systems that would allow a small team to perform at the level of a 100-person firm. To realize that vision, BUCS needed a centralized platform that could streamline operations, enhance visibility, and support rapid growth without adding headcount.
Q1
Solution
Centralizing operations and automating workflows in SmartSuite
SmartSuite became the backbone of BUCS Engineering’s operations, connecting project management, permit tracking, client dashboards, and QuickBooks integration in one system.
Working with consultants and developers, Greg tailored SmartSuite to their niche telco workflows. They built systems to:
- Auto-generate project folders in SharePoint
- Create project shells in QuickBooks
- Sync invoices and estimates with SmartSuite views
- Track jurisdiction-specific permit workflows
- Deliver real-time updates to Customers via custom dashboards
While adoption hurdles remained, especially shifting teams from Outlook, Greg continued refining the system with support from SmartSuite’s strategy team.

Results
Improved efficiency, collaboration, and data-driven decision making
BUCS Engineering now manages complex telecom infrastructure projects for national clients—without scaling their team.
With SmartSuite, Greg's team automates critical steps like permit submission updates, project kickoff emails, and document sharing. Real-time dashboards allow clients to track permits, finances, and project statuses in one place. Internally, SmartSuite helps unify fragmented tasks, monitor deadlines, and assign responsibilities—all without the bureaucratic drag.
