India’s largest government-backed prototyping center, faced significant operational complexity managing a network of specialized fabrication shops including metal, wood, electronics, and textiles. Each unit handled its workflow independently, resulting in poor visibility, delays, and manual coordination across departments.

Cross-functional projects often required parts from multiple shops, but there was no centralized system to track progress, assign responsibilities, or update statuses in real-time. As a result, operations teams were burdened with time-consuming follow-ups and error-prone spreadsheet tracking.

This lack of visibility and automation created operational drag just as the organization was scaling its offerings and serving more internal and external clients. They needed a robust, flexible solution to unify workflows, track inventory movement, and streamline request fulfillment.

Streamlining order management and inventory tracking

SmartSuite was selected as the operations backbone to centralize and streamline the organization's multi-department workflows. The team configured SmartSuite to manage their end-to-end order lifecycle, connecting internal requesters, fabrication teams, and inventory movements in a single interface.

Key features used included linked records to connect sub-orders from various shops to a central master order, lookup fields to monitor shop statuses, and automation rules to trigger status updates when shop-level tasks were completed.

SmartSuite forms were deployed for intake processes, while integrations with Fillout and Relay supported quotation approvals and feedback workflows. The team also experimented with SmartSuite’s APIs to prepare for deeper machine integrations such as printer tracking.

This flexible setup allowed them to maintain shop-level autonomy while ensuring all activity fed into a centralized tracking and reporting system.

Predictable inventory and scalable growth

The organization experienced an immediate operational improvement. Orders could now be tracked across all eight shops from a single dashboard, eliminating guesswork and communication gaps. Task handoffs became clearer, reducing project delays and enabling proactive management of bottlenecks.

Inventory movements became more predictable as central stock distribution and shop-level inventories were connected through dynamic tables and automation. The system also enabled future scalability, with structured roles, custom dashboards, and API readiness for machine monitoring and digital twin capabilities.

Operational reporting, which previously relied on back-and-forth communication and error-prone manual logs, became instant and reliable—empowering the team to focus on delivering faster, higher-quality prototyping services.
