Streamlining order management and inventory tracking
SmartSuite was selected as the operations backbone to centralize and streamline the organization's multi-department workflows. The team configured SmartSuite to manage their end-to-end order lifecycle, connecting internal requesters, fabrication teams, and inventory movements in a single interface.
Key features used included linked records to connect sub-orders from various shops to a central master order, lookup fields to monitor shop statuses, and automation rules to trigger status updates when shop-level tasks were completed.
SmartSuite forms were deployed for intake processes, while integrations with Fillout and Relay supported quotation approvals and feedback workflows. The team also experimented with SmartSuite’s APIs to prepare for deeper machine integrations such as printer tracking.
This flexible setup allowed them to maintain shop-level autonomy while ensuring all activity fed into a centralized tracking and reporting system.

The system also enabled future scalability, with structured roles, custom dashboards, and API readiness for machine monitoring and digital twin capabilities.
