A prestigious law school on the West Coast of the U.S., known globally for its JD, LLM, and JSD programs, takes pride in its interdisciplinary focus, public service commitment, and strong connections to the tech sector. Within this academic environment, the Student Services and Legal Affairs (SSLA) team was overseeing essential operations—such as software license tracking and project coordination—using manual processes and disconnected tools. Managing over 40 software licenses, the team depended on large, color-coded spreadsheets with complex formulas to track renewals, fiscal timelines, and payment statuses.

Project management was equally fragmented, with meeting notes, task lists, and responsibilities scattered across emails, documents, and platforms. Collaboration suffered further as their developer operated on a separate open-ticket system, creating barriers to cross-functional coordination. Without a unified platform, the team was losing time, visibility, and momentum—making it difficult to stay on top of follow-ups, approvals, and strategic planning.

Flexible project management with secure user controls

SmartSuite enabled the Program Director and her team to centralize both their licensing and project management workflows into one modular, scalable system.

They created a licensing solution to structure agreements by fiscal year, automate renewal notifications (e.g., -45 day triggers), and link payments to each agreement dynamically. Project management was tackled with a lightweight but flexible setup that allowed task assignment, meeting tracking, and cross-project note linking—all with permission controls to protect “master” templates.

SmartSuite’s shareable solution duplication and admin tools allowed the Program Director to test and iterate with her team while protecting core data structures. “I could just create nine versions of the same template, assign each to a user, and let them break it safely,” she said.

The licensing tracker now automatically pulls dates, tracks renewals, and triggers email actions, freeing the Program Director from manual oversight. The admin team uses SmartSuite forms to log incoming leads and demo requests, ensuring nothing slips through the cracks.

On the project side, weekly meeting chaos has turned into structured, searchable project hubs. The addition of form-based internal tickets also allowed seamless integration with their dev team’s external platform using SmartSuite’s API.
