Problem
Templates That Couldn't Scale
An accounting firm specializing in construction contractors, faced increasing operational complexity as its client base and service demands expanded. As the founder and CPA explained, “We sort of exploded in the last couple of years… finally getting to the point where the team's doing everything.”
The firm had begun creating internal solutions in Airtable to support contractors across the country, including tax planning systems and back-office service tools. However, these systems were difficult to scale. “I could reproduce this 100 times over,” he said, “not just deal with our clients, but probably deal with a lot of contractors all over the country.”
Despite having powerful templates, managing them across various platforms introduced inefficiencies and limited broader value delivery.

From Internal Systems to Scalable Services
The founder transitioned to SmartSuite to centralize and enhance his existing systems, citing the platform’s dashboards, automation features, and ease of use. “I built a really nice tax planning system,” he noted, emphasizing his satisfaction with the new dashboard capabilities. These features enabled his team to create replicable, scalable templates and automate workflows previously managed through manual or fragmented tools.
SmartSuite’s no-code automation and embedded permissions allowed him to maintain control while enabling others on his team to handle implementation. “I’ve gotten pretty darn good with the no code automation in the last few months,” he shared. The team now plans to convert these assets into revenue-generating services and templates using SmartSuite’s solution provider and affiliate programs.

Turning Expertise into Passive Growth
SmartSuite transformed his internal tools into a scalable business opportunity. His team is preparing to offer template-based services to contractors nationwide, combining SmartSuite’s automation and dashboarding with their industry-specific expertise. “We usually put it into their back office services,” he said of the systems they build, “but now we’re thinking about scaling it more broadly.”
SmartSuite also enabled new strategic opportunities. With a book launch underway and a YouTube channel reaching 4,000 subscribers, he sees the potential for significant passive income and broader industry influence. “It’s picking up… I think I can scale this.”
