Problem
Inefficient registration and compliance workflows disrupting operations
Asheville-Buncombe Technical Community College (A-B Tech), a public two-year institution in North Carolina, offers associate degrees, certificates, and continuing education programs that support workforce development and community growth. Within its Continuing Education division, which plays a vital role in serving non-traditional learners and local employers, operational inefficiencies were slowing progress. Student registration, faculty coordination, and compliance tracking were managed through disconnected systems—paper forms, spreadsheets, and emails—making it difficult to maintain accuracy or efficiency.
Manual workflows led to delays, data entry errors, and compliance risks due to missing signatures and untracked instructional hours. Adjunct faculty lacked reliable access to up-to-date class rosters and attendance records, while the IT team struggled to integrate siloed tools with enterprise systems like Colleague and Softdocs. Without interoperability or centralized visibility, the division faced mounting challenges in scaling and streamlining operations.
Q1
Solution
Faculty and IT empowered to modernize operations
AB Tech has seen rapid operational gains. Manual data entry was slashed by over 50%, with instructors now empowered through interactive dashboards to track real-time registration, manage inventory, and view compliance status at a glance. Automation replaced what were once error-prone manual bundling processes for registration data, and plans are in motion to auto-sync data into Colleague using SmartSuite’s API.
The IT team also appreciated the ability to use SmartSuite as a central interface while maintaining data flows into authoritative systems, avoiding tool sprawl. “The goal is for SmartSuite not to become a second source of truth, but a flexible frontend to drive our existing systems,” said Chris Harshman, CIO.
Kaitlin’s phased rollout plan priced at $1,890–$12,000 per year (with education discount) gave the administration confidence to expand adoption sustainably. As more departments join the platform, AB Tech is now considering a full-site license to eliminate license constraints and scale campus-wide.
