Folders — Keep a Growing Workspace's Views Organized
Group related Saved Views into named folders in the Views Sidebar—keeping busy Tables navigable, and controlling which Members, Teams, and roles see each folder's views.
What Is Folders?
Folders (View Folders) are a SmartSuite capability that groups a Table's Saved Views into named folders inside the Views Sidebar, keeping busy workspaces organized as views multiply. They help Administrators and Solution Managers structure reporting by quarter, team, or function—and control folder visibility by Member, Team, or role. Folders are available on Professional and Enterprise plans as part of the Views system.
View Organization
Group Saved Views into Named Folders
Create a folder from the "Create a New View" control, name it, and drag existing views in—or create new views directly inside a folder from its "+" icon. Folders expand and collapse in the sidebar, rename from a three-dot menu, and reorganize as the workspace grows.
Deleting a folder never deletes the views inside it; they simply return to the sidebar—structure changes stay reversible.
Folder Permissions
Control Folder Visibility by Member, Team, and Role
Folder visibility defaults to Everyone but can be restricted to specific Members, Teams, and Permission Roles—conditions combined with AND logic—managed by Solution Managers and Administrators. A Finance folder shows its views only to the finance team; the executive reporting folder only to leadership.
Folder permissions govern which views a Member sees in that folder—they never change the Member's underlying Table, Record, or Field permissions, so the data-access model stays intact underneath.
Findability
Search Past the Structure When You Know the Name
During a view search in the sidebar, folders step aside—only matching view names are shown, so organization never slows down retrieval. Folders keep the browse experience tidy; search keeps direct access instant.
Folders
A mature GRC Solution accumulates views faster than anyone prunes them. Folders turn that sprawl into structure—with visibility rules that match how the program is actually built.
Group all Q3 reporting views into one folder and archive last quarter's into another—the compliance team opens the current cycle's views without scrolling past history.
Restrict a Finance folder to the finance Team via Folder Permissions—budget and cost views stay out of the general sidebar while underlying data permissions remain unchanged.
Organize a GRC Table's views into Risk, Controls, and Vendor folders, so each function's working views sit together and new analysts find their lens on day one.
As the compliance workspace grows, regroup views into new folders—no view is deleted or recreated in the process, and deleting an obsolete folder returns its views safely to the sidebar.
Combine Folders with locked views in the Views Sidebar—the folder governs who sees the reporting set, the lock governs who can change each view inside it.
