What Is Views?

Views are customized ways of looking at the same underlying Table data—filtered, sorted, grouped, or reformatted presentations that never alter the Records themselves. Views help GRC, IT, project, and business operations teams give every role the lens it needs—an edit made in one View is instantly reflected in every other View of that Table. Core view types are included on all SmartSuite plans; each has its own page, starting with Grid View.

Administrators and Solution Managers can publish a read-only version of a Grid, Card, or Gantt view via shareable link or embed code—with field selection, filtering, passcode protection, and toggles for export, record opening, and the toolbar. External viewers need no license, and regenerating a link invalidates the old one.

What is a View in SmartSuite?

Can I stop others from changing a View I set up?

Yes. On Professional and Enterprise plans, locked Views prevent modification by other users until a Solution Manager or Administrator unlocks them—shown with a red lock icon. Duplicated Views also default to private.

Do Views change or duplicate my data?

No. Views are presentations of the same Records—no copies, no syncing. Filters, sorts, and groupings are saved with autosave on by default, and deleting a View never deletes the underlying data (though the View itself cannot be restored).
