Solutions — One Container for Every Business Process

Group the Tables, Records, Views, Dashboards, and Automations behind a workflow into one governed Solution—so every process runs as a connected system, not a scatter of disconnected tools.

What Is Solutions?

A Solution is SmartSuite's top-level container for a business process: it groups related Tables, Records, Fields, Dashboards, Automations, and permissions into one self-contained system inside your Workspace. It helps GRC, IT, project, and business operations teams run each workflow—from a risk register to a service desk—as a single governed unit with its own views, access rules, and reporting. Every SmartSuite plan supports unlimited Solutions per Workspace as part of the platform's data architecture.

Connected Structure

Group Related Tables Into One Working System

A Solution holds every Table a process needs—a Product Development Solution can contain User Stories, Epics, and Sprints; a CRM Solution can hold Contacts, Companies, Deals, and Activities. Tables inside a Solution link to each other through relationship Fields, so the whole process shares one relational data model.

Each Solution carries its own name, icon, color, and description on the Home page, making every system recognizable at a glance.

Four Ways to Build

Create Solutions From Templates, AI, Scratch, or Imports

Start a Solution four ways: install a pre-built, industry-specific template from the Solution Library, build from scratch, describe your workflow to the AI Solution Builder in plain language, or import a CSV file or an Airtable base and let SmartSuite map it into Tables and Fields.

The AI Solution Builder produces a customized Solution—including pre-configured Tables and relevant Fields—in about one to two minutes.

Complete Systems

Run Views, Dashboards, and Automations Per Solution

Every Solution supports its own Views, Dashboards, field structures, Automations, and access permissions—so a compliance program and a service desk can live in the same Workspace with entirely different layouts, workflows, and rules.

Teams see their process the way their work demands it, while administrators keep one platform to govern.

Role-Based Control

Govern Who Creates and Changes Each Solution

Solution creation is reserved for Members with the Solution Creator or Administrator role—only they see the option to add a new Solution. Inside a Solution, Solution Managers control structural changes while everyone else works within the structure they are given.

Builders move fast, and the systems they build stay stable for the teams that depend on them.

Start From Your Data

Turn Existing Spreadsheets and Bases Into Solutions

Teams rarely start from zero. Import a CSV export or connect an Airtable base and SmartSuite creates a new Solution around it—columns mapped to Fields, rows landing as Records, structure ready to refine.

Migration becomes the first step of the build, not a separate project.

Platform Context
How GRC Teams Use

Solutions

Each governed process gets its own Solution—with its own structure, permissions, and reporting—while everything stays connected on one platform.

Compliance Program in One System

Run frameworks, controls, evidence, and testing as connected Tables inside a single Compliance Solution. Auditors and control owners work in the same governed structure with role-based access.

Risk Management Rollout

Install a risk management template from the Solution Library, then tailor its registers, assessments, and treatment plans to your methodology—live in days, not months.

Third-Party Risk Program from a Prompt

Describe your vendor intake, assessment, and review workflow to the AI Solution Builder and get a working third-party risk Solution with pre-configured Tables in minutes, ready to refine.

Policy and Attestation System

Keep Policies, Attestations, and Exceptions as linked Tables in one governance Solution, so every policy carries its attestation status and open exceptions with it.

Connected Processes with Linked Records

Use Linked Records to connect Tables across Solutions—vendor Records in a procurement Solution link straight to risk assessments in your GRC Solution.

Frequently Asked Questions About
Solutions
What is a Solution in SmartSuite?

A Solution is SmartSuite's top-level container for a business process or workflow. It groups related Tables, Records, Fields, Dashboards, Automations, and permissions into one self-contained system, and a Workspace can hold many Solutions.

How do I create a new Solution?

Four ways: install a pre-built template from the Solution Library, build from scratch, describe your workflow to the AI Solution Builder, or import a CSV file or Airtable base. Creating a Solution requires the Solution Creator or Administrator role.

How many Solutions can a Workspace hold?

Solutions per Workspace are unlimited on Team, Professional, and Enterprise plans. Record limits apply per Solution by plan: 5,000 on Team, 100,000 on Professional, and 400,000 on Enterprise.

Can each Solution have its own permissions?

Yes. Every Solution carries its own access permissions alongside its Views, Dashboards, and Automations. Solution Managers control structural changes within a Solution, while workspace roles govern who can create Solutions at all.

What is the difference between a Solution and a Table?

A Solution is the container; Tables live inside it. A Solution groups the Tables for one business process—each Table holds Records of a single type, and Tables link to each other through Linked Record fields.

Can the AI Solution Builder really build a working Solution?

Yes. Describe your workflow in natural language and the AI Solution Builder generates a customized Solution—including pre-configured Tables and relevant Fields—in about one to two minutes. You then refine the structure like any other Solution.

How do Solutions support audit readiness?

Each Solution is a governed unit: role-based permissions control who changes structure, activity history tracks changes to Records, and the process's data, evidence, and reporting stay in one place—helping GRC teams stay audit-ready.
