Webhooks — Push Record Events to Any System in Near Real Time
Subscribe external systems to record created, updated, and deleted events—or fire outbound HTTP requests from any Automation—keeping downstream tools current without polling, delays, or duplicate data entry.
What Is Webhooks?
Webhooks is the SmartSuite capability for event-driven integration in two forms: a developer-facing Webhooks API that notifies your endpoint when Records are created, updated, or deleted, and a no-code Send Webhook Request automation action that fires an outbound HTTP request from any workflow. It helps engineering and operations teams keep external systems in sync the moment data changes—no polling loops, no batch delays. Webhooks are available on all current plans and pair naturally with the REST API.
Event Subscriptions
Subscribe to Record Created, Updated, and Deleted Events
Through the Webhooks API, you register a notification URL with a filter—scoped to a Solution, a Table, or specific fields—and the event kinds to watch: record created, updated, or deleted. When matching changes happen, SmartSuite notifies your endpoint so downstream systems react immediately.
Field-level filters mean a warehouse sync can listen for status changes alone instead of processing every edit in a busy Table.
Reliable Delivery
Deliver Events With Retries, Backoff, and Secure Callbacks
Deliveries are built for real infrastructure: notifications carry a webhook ID and locator, and your server calls back to fetch full event details—keeping payloads light and the pattern server-side, where API tokens stay out of client code. Failed deliveries retry with exponential backoff for about a day, with at-least-once delivery.
Design your receiver for occasional duplicates and the pipeline stays consistent through outages on either end.
No-Code Outbound
Send Webhook Requests From Any Automation—No Code Required
The Send Webhook Request automation action puts outbound HTTP in the hands of workflow builders: choose GET, POST, PUT, PATCH, or DELETE, set custom headers and content types, and build a JSON, text, array, boolean, or number body from static values or fields on the triggering Record.
The returned HTTP status code flows into later automation steps, so a workflow can branch on whether the external call succeeded.
Webhooks
Event-driven sync is how governed data stays trustworthy across a compliance stack--downstream systems reflect the register the moment it changes, and no control depends on someone remembering to export.
Notify a data warehouse or GRC reporting layer the moment control test results or risk scores change, so board dashboards and regulator-ready reports never trail the register.
Watch policy and exception Tables with field-level filters and push approved changes into SIEM or ticketing tools that security operations already monitor.
Fire a Send Webhook Request when a finding's remediation due date approaches or a risk score crosses appetite—escalation tooling and owner notifications go out the moment the Record changes, not after the next status meeting.
Subscribe an endpoint to record events on the vendor Table so security-ratings platforms and contract systems learn about onboardings and offboardings without nightly batch jobs. Third-party monitoring starts the day the relationship does.
Pair Webhooks with the REST API: the webhook signals that something changed, the API fetches full record detail—an efficient, near real-time sync pattern without polling.

Webhooks are SmartSuite's event-driven integration capability, in two forms: a Webhooks API that notifies your endpoint when Records are created, updated, or deleted, and a Send Webhook Request automation action that fires an outbound HTTP request from any no-code workflow.
The Webhooks API supports record created, record updated, and record deleted events, with filters scoped to a Solution, a Table, or specific fields—so a subscription can be as broad or as targeted as the integration needs.
Failed deliveries retry with exponential backoff for about a day, with at-least-once delivery—meaning occasional duplicates are possible and receivers should handle them idempotently. Webhooks also deactivate after 7 days of inactivity and need to be reactivated.
No. It's configured in the Automation builder: pick an HTTP method (GET, POST, PUT, PATCH, or DELETE), set headers and content type, and compose the body from static values or fields on the triggering Record. Requests time out after 30 seconds, and the response status code is available to later steps.
Webhooks are listed on all current plans—Team, Professional, and Enterprise—per the pricing page's feature comparison. The Webhooks API shares the REST API's documented rate limit of 5 requests per second per key.
The Webhooks API is documented as BETA on developers.smartsuite.com, and SmartSuite recommends server-side use only so API tokens are never exposed in client code. The Send Webhook Request automation action is a fully released automation capability.
Webhooks push a notification the moment data changes, while polling asks repeatedly whether anything changed—spending API allowance on empty checks. The recommended pattern combines both: subscribe to events, then fetch full details through the API when notified.
Sync Systems in Seconds, Not Batch Cycles
Subscribe to record events or fire your first Send Webhook Request—your downstream tools will know the moment your data changes.
