Life’s a rollercoaster, and it’s easy to overlook stuff. That's exactly why I wanted to automate setting up our weekly team meetings complete with agendas, ownership (that’s me), and deadlines to keep it all front and center.

How Did I Do It? Enter Automation

Let me walk you through an automation I've dubbed, 'Create Weekly Team Meeting.' It triggers at a scheduled time (pretty handy), say on a lazy Sunday, so we’re ready to rock on Monday. Yes, it runs like clockwork every week, creating our meeting record without fail.

What actions are we talking about? Simple—we're creating a fresh record in the meetings app.

In Smartsuite, you’ll find a default description field, but I went ahead and called it an agenda field—sounds right, doesn’t it? Plus, it’s a SmartDoc type field, allowing you to jazz up the text with rich formatting. We're talking headings, links to docs—all the good stuff. And since agenda items might change, having a structured but editable format is top-notch.

Quick Breakdown: My Meeting Record

  • Type: Weekly Team Meeting
  • Assigned to: You guessed it, me!
  • Due Date: Set for tomorrow (because we’re automating on Sundays, remember?)

With the automation saved, come next Sunday, voila! A fresh record pops up into existence, with a title that’s got the meeting date stitched to it.

What’s on the Agenda?

Our freshly minted meeting slots into the backlog for now, ready for status updates and pre-meeting tweaks. Opening the record reveals that rich, formatted agenda, already loaded with the basics and awaiting your final touch.
